LETTER OF ACCEPTANCE FROM THE THESIS SUPERVISOR (THERE IS NO MODEL, THE SUPERVISOR WRITES THE TEXT AND ADDS A DIGITAL SIGNATURE).

An important fact that you should remember when entering the programme is that to be admitted, and in addition to the academic requirements you can find here, students must first contact some of the professors on the programme to present their thesis plan in detail. The professor, through a letter, accepts the supervision of the thesis project and the joint work during the years of thesis preparation.

NON-CLASSROOM DOCTORATE

This PhD Programme is NOT a school of classroom-based courses. It consists of developing a thesis with a maximum duration of three years from the enrolment of the PhD student until the thesis is presented.

The cross-curricular activities are ONLINE, and the specific activities depend on the student’s work.

THAT IS TO SAY, IT IS THE STUDENT WHO DESIGNS THE WORK PLAN AND THE ACTIVITIES TO BE CARRIED OUT TO COMPLETE THE HOURS OF TRAINING, SHARING THE INFORMATION WITH THEIR SUPERVISOR. THE PHD PROGRAMME TRIES TO KEEP THE STUDENT PERMANENTLY INFORMED OF THOSE ACTIVITIES WITHIN OUR REACH THAT ARE OF INTEREST TO DOCTORAL STUDENTS.

TRAINING ACTIVITIES PARALLEL TO THE PREPARATION OF THE DOCTORAL THESIS, INCORPORATED INTO SENIA, THE APPLICATION FOR MANAGING ACTIVITIES AND CV.

COMPULSORY TRAINING COURSES OF THE DOCTORAL SCHOOL. SEE THE CALENDAR OF THE DOCTORAL SCHOOL. IT IS ADVISABLE TO TAKE THEM IN THE FIRST YEAR OF THE DOCTORAL PROGRAMME.

IT IS RECOMMENDED TO PLAN AND COMPLY WITH THE MINIMUM COMPULSORY ACTIVITIES AND DO ACTIVITIES WITHOUT MINIMUMS  TO HAVE A BALANCED COMPUTATION OF ACTIVITIES AND REACH THE 600 HOURS.

REQUIREMENTS FOR FOREIGN STUDENTS

-Students whose native language is not Spanish will be asked for a B1 Spanish certificate.

-With studies abroad from outside the European Higher Education Area, they need an origin certificate for a doctorate and pay the homologation fee.

-With studies in Spain, such as a Spanish Master’s degree, they do not have to pay the fee but must present the certificate from their university of origin, which certifies that they can do a doctorate.

THE SPECIFIC AND CROSS-CURRICULAR ACTIVITIES ARE A RESEARCH COMMITMENT PARALLEL TO THE DEVELOPMENT OF THE THESIS AND ARE INITIATED AND CARRIED OUT FROM THE MOMENT OF STARTING THE DOCTORAL PROGRAMME.

 

540 HOURS MINIMUM FOR SPECIFIC ACTIVITIES (IF 60 HOURS OF CROSS-CURRICULAR ACTIVITIES ARE DONE)

ISSUES RELATED TO THE SPECIFIC ACTIVITIES SHOULD BE DISCUSSED AND CONSULTED WITH THE DIRECTORS. THIS WAY, THEY ARE AWARE OF PROGRESS AND CAN VALIDATE THEM.

ALL ACTIVITIES RELATED TO THE RESEARCH TOPIC (EXHIBITIONS, PUBLICATIONS, CONGRESSES…) ARE SUBMITTED TO THE SENIA APPLICATION FROM THE THESIS MANAGEMENT OF EACH PHD STUDENT.

ALL DOUBTS ABOUT SENIA AND ITS SECTIONS FOR THE ACTIVITIES SHOULD BE ASKED TO THE DIRECTORS. WHEN ENTERING SENIA, THERE IS A GUIDE OF ACTIVITIES AND SECTIONS.

THE SPECIFIC ACTIVITIES ARE FIRST APPROVED OR REJECTED BY THE DIRECTOR AND THEN REVIEWED AGAIN BY THE ACADEMIC COMMITTEE (CAPD). ONCE THE CAPD VALIDATES THEM, THE PHD STUDENT WILL SEE THEM ON THE PLATFORM.

SPECIFIC ACTIVITIES MUST BE CARRIED OUT DURING THE YEARS OF PREPARATION OF THE THESIS. THEY ARE ACTIVITIES RELATED TO THE RESEARCH OF THE THESIS.

ATTENTION:

  ACTIVITIES CARRIED OUT AT THE LATEST ONE YEAR BEFORE THE ENROLMENT ARE ACCEPTED, for example, a publication in a journal or book, participation in a conference with a paper or exhibition, carried out during the period of the Master’s degree, but not courses or classes that have nothing to do with the thesis). The director will review this activity to consider its suitability.

LANGUAGE COURSES, AND TEACHING OF SUBJECTS IN INSTITUTES OR ACADEMIES, WHICH HAVE NOTHING TO DO WITH THE THESIS, WILL NOT BE ACCEPTED.

 

THE MINIMUM REQUESTED IN THE PROGRAMME IS 540 HOURS, BUT AS MANY HOURS AS THE STUDENT WISHES CAN BE INCLUDED IN SENIA AND WILL BE REFLECTED IN YOUR CV.

 

IT IS VERY IMPORTANT TO MEET THE MINIMUM COMPULSORY HOURS

IT IS IMPORTANT NOT TO LEAVE OUT THIS SECTION FROM THE VERY BEGINNING  TO AVOID PROBLEMS WHEN THE DEFENCE DATE APPROACHES, AND THERE IS NO TIME TO DO ACTIVITIES.

STUDENTS MUST ENROL IN THESE FREE COURSES OFFERED BY THE SCHOOL UNTIL THEY HAVE REACHED THE MINIMUM 60 HOURS REQUIRED. IF THEY ARE NOT REACHED, THE THESIS CANNOT BE DEFENDED.

This year the school has incorporated another free and compulsory cross-curricular 10-hour course.

THE DOCTORAL SCHOOL RECOGNISES ACTIVITIES RELATED TO MANAGEMENT AS CROSS-CURRICULAR ACTIVITIES. THERE ARE SPECIFIC DATES FOR THIS APPLICATION.

The course of METHODOLOGIES of the Master’s Degree in Artistic Production

(UPV) will be recognised as cross-curricular training = 40 hours.

The academic year begins on 1 September and ends on 31 July of the following year.

Doctoral students admitted to the doctoral programmes will enrol through the Doctoral School each academic year. From the 2015/2016 academic year onwards, the renewal of the second and subsequent enrolments will be automatic after the corresponding notification to the student.

If the director belongs to the UPV, they will also assume tutor functions.

Each doctoral student will have an Activities Register in which all activities of interest for the development of the doctoral programme will be recorded: research plan and training activities. This Register will form part of the student’s academic record.

Before the end of the first year, the PhD student must draw up a Research Plan that will include at least the objectives to be achieved in their thesis, the methodology to be used, and the means and the schedule to achieve them. It is advisable to do so before the start of the annual assessment process (June of the enrolled year).

ANNUAL ASSESSMENT

During June, and independently of the enrolment date, the PhD student will carry out an annual self-evaluation report of their research plan and experiences in the PhD programme.

This report will be reviewed by the thesis supervisor and/or tutor, who will issue an assessment during the first fortnight of July, which the CAPD must consider. The supervisor/tutor may ask the student to improve the report, for which the student will have 5 days in addition to the deadlines indicated.

The CAPD will evaluate the student’s Activity Record: research plan, specific training activities, and the reports issued by the tutor/director. A positive evaluation will be a prerequisite for continuing on the programme. In the event of a negative assessment, which will be duly explained, the PhD student must be re-evaluated within six months, for which purpose a new research report must be drawn up. In the event of a new negative evaluation, the PhD student will be permanently withdrawn from the programme.

 

RESEARCH PLAN AND ANNUAL SELF-REPORT

RESEARCH PLAN (ONE ONLY)

IT IS DONE DURING THE FIRST YEAR AND SUBMITTED BEFORE THE END OF ONE YEAR AFTER ENROLMENT.

Once students are enrolled, the thesis management system will automatically send emails informing them of everything they have to do.

 

Students are advised from the day they have enrolled that they have exactly one year to draw up the Research Plan, which the PhD Commission of the Faculty of Fine Arts must approve. There is a model to be filled in each section with a maximum of words. It will be approved by the director and then by the Academic Committee.

 

The research plan consists of a forecast of the different activities to be carried out by the researcher during the research process. These activities must be planned in a logical sequence and in accordance with the stages of the scientific research process, and, for each one, it is necessary to calculate the time needed for its execution and the required and adequate resources to carry them out.

 

It is important to consider that the forecast of the research activities is modifiable and not definitive, that it can and, in most cases, must be varied and adapted during the development of each stage of the research process.

 

The research plan is only an instrument of general orientation for the researcher and should not be conceived as a set of rigid, absolutely imperative and immutable determinations.

 

The initial title can be modified later, if the director deems it necessary, by requesting it to the CAPD, before the assignment of the evaluators.

 

The research plan must be approved by the CAPD within one year from the registration date.

 

* The form must be completed through «Thesis Management» with the sections Title and Summary, Background and current status, Bibliography, Hypotheses and objectives, Methodology, Means to be used, Time planning and justification of the research.

 

Explanatory notes

 

Maximum length of each item approx. 500 words. The application itself cuts you so that you can extend only a little. The online application does not allow text in inverted commas («) or bold or italics in each section.

Common errors for which the Research Plan is usually rejected:

 

1) «Title and Abstract». Avoid excessively generic and overly broad titles. A broad title and a specific subtitle can be used.

The «Summary» broadly describes the objectives and methodology, ending with the expected results.

 

2) «Background». This is not your own previous studies or personal curriculum vitae but the authors who have dealt directly or indirectly with your object of study at a theoretical and practical level. Never write that there is no background. It is advisable to end this section with the «Current status» of the research, what remains to be investigated, and what points are going to be developed in the thesis.

 

3) «Bibliography». It is advisable to use APA citation, as this allows you to cite some of the ideas or references in the text, which gives the impression that your ideas are well-founded.

 

4) «Hypothesis and objectives». Many people mistakenly put the hypothesis in question when they have to be defined by statements. The hypothesis is the answer to the research questions set out above. They are the conjectures (intuitions) before they are proved in the doctoral thesis.

 

With regard to the objectives, there may be one general objective and several specific ones, usually expressed with the verb in the infinitive. There is usually one per thesis chapter.

 

5) Leaving any section incomplete may lead to the rejection of the Research Plan.

ANNUAL SELF-REPORT

Once the Research Plan has been approved, every year in June, a self-report of the activities and progress of the thesis must be made. This is done from the corresponding section of Thesis Management. This must be done every year. It will be approved by the director and then by the Academic Committee.

THEREFORE,  THE RESEARCH PLAN (UNIQUE) FROM THE ANNUAL SELF-REPORT (EVERY YEAR) ARE TWO DIFFERENT THINGS.

 

THE PHD STUDENT IN THIS PROGRAMME MUST COMMIT TO WORK ON THEIR CV FROM THE BEGINNING AND PARALLEL TO THE ELABORATION OF THE THESIS.

APPLICATIONS FOR LEAVES AND EXTENSIONS

REQUEST FOR EXTENSION

If the three-year period has elapsed and the application to deposit the thesis has not been submitted, the programme committee may authorise the extension of this period for a further year, which may exceptionally be extended for an additional year, under the conditions established in the corresponding PhD programme. In the case of part-time studies, the extension may be authorised for a further two years, which may also, exceptionally, be extended for a further year.

Applications for extensions can be made 6 months before the deadline for the completion of the thesis.

The process is done through the tool «Thesis Management». Starting from the summary screen (the first one shown in the tool), the preparation phase, and requests for extensions/deletions.

 

EXTENSION REQUEST

REQUEST FOR LEAVE (MEDICAL LEAVE, PREGNANCY/MATERNITY/PATERNITY)

To calculate the duration of PhD studies, leaves of absence due to illness, pregnancy or any other cause provided for by current regulations will not be considered.

To register these situations, it is possible to use the computer tool «Thesis management» – Preparation phase – Application for leave/extensions, in two different options: Medical leave and Pregnancy/Maternity/Paternity.

For these two options, a motivation (simple text that does not need to be explicit or detailed) and a supporting document are requested, which, in the case of medical leave, will generally be a work leave report. However, a medical certificate is also accepted if there is no work leave and will necessarily include the start and end date of the situation. Detailed diagnoses are not required and can be requested at any time, usually at the end of the situation. No doctor’s appointments, diagnostic reports or treatment appointments are accepted. In the case of long periods of work leave, only the first (beginning of the situation) and the last (end of the situation) leave reports are required.

For pregnancy/maternity/paternity leave, it is sufficient to present a document confirming the start of the situation (hospitalisation certificate, family record book, etc.). The maximum time of this situation will be the maximum established by law, including maternity and breastfeeding periods: 20 weeks for maternity/pregnancy and 12 weeks for paternity (16 from 1/01/2021).

Cases of leave due to risky pregnancy are processed as medical leave with the same characteristics and requirements established for this type of leave.

 

REQUEST FOR TEMPORARY LEAVE

PhD students may request temporary leave from the programme for a maximum period of one year, extendable for a further year. This request must be addressed and justified to the academic committee responsible for the programme, which will decide whether the PhD student’s request can be granted.

NECESSARY DOCUMENTATION:

Documentary justification of the causes indicated in the application.

PROCEDURE:

– Request by the interested party, through the «Thesis Management» tool, from the menu Processing phase ⇒ Requests for extensions and leaves.

– The thesis supervisor or tutor will accept or reject the request, using the same tool Director’s reports ⇒ Requests for extensions and leaves.

– The Academic Committee will study and resolve the request through the same computer tool from the C.A. Reports menu. ⇒ Requests for extensions and leaves.

– The Standing Committee of the Steering Committee (Doctoral School) will ratify, where appropriate, the resolution adopted by the Academic Committee.

– Once validated by the Doctoral School, the result will be displayed in the «Thesis Management» tool, and the leave time will be deducted from the maximum time established by the regulations.

 

REQUEST FOR DEFINITIVE VOLUNTARY LEAVE FROM THE PROGRAMME

According to point 9 of the Agreement of the Steering Committee (Doctoral School), dated 15 July 2015, on the application in the PhD programmes of the UPV of the conditions of permanence in PhD studies regulated by Royal Decree 99/2011, of 28 January, which regulates the official teaching of doctoral studies.

«PhD students may request their definitive withdrawal from the programme, meaning their definitive abandonment of the programme. This request shall be addressed to the Academic Committee of the programme».

«Students who have voluntarily requested their definitive withdrawal from the programme may apply for admission to the same or another programme, in the same way, and under the same conditions as any other new student. The activities carried out previously will not be automatically recorded in their new file.»

 

DOCUMENTATION REQUIRED:

An application to carry out the leave.

PROCEDURE:

The PhD student will write a free-format application form which, once signed, will be scanned and attached to an email to the institutional address of the Doctoral School (escueladoctorado@upv.es).

The School’s administrative services will carry out the relevant management and annotations in the management applications. Subsequently, the PhD programme will be notified (institutional email address of the programme), as well as the director(s) and tutor(s).

At the end of the process, the interested party will be notified by email.

 

APPLICATION FOR LEAVE/CANCELLATION OF ENROLMENT FOR THE CURRENT ACADEMIC YEAR

The general deadline for the entire university is 31 October. For PhD studies, there is also one month from the date of enrolment by the student. Within these deadlines, requesting a refund of the fee paid if this has been done is possible.

Outside these deadlines, it is possible to request the cancellation of enrolment without inherent to it the reimbursement or cancellation of the academic year fee.

 

NECESSARY DOCUMENTATION:

An application to make the leave and, where appropriate, reports from the tutor and academic.

PROCEDURE:

The PhD student will write a free-format application form which, once signed, will be scanned and attached to an email to the institutional address of the Doctoral School (escueladoctorado@upv.es).

The application must contain a detailed justification of the application and the possible causes that may lead to the reimbursement of the fee paid or its cancellation.

The application may be accompanied by a tutor and an academic report.

The Doctoral School may request a report, if it is not included, from the tutor and academic of the PhD student’s doctoral programme.

With all the documentation, the school will decide whether or not to proceed with the refund or cancellation of the fee, in the event that it has been requested, will proceed to the management and will notify, by email, the interested party, as well as the academic, tutor and director(s).

 

APPLICATION FOR PART-TIME ENROLMENT

The duration of the studies will be a maximum of three years, on a full-time basis, starting from the PhD student’s enrolment in the programme (or from the completion of the complementary training) until the submission of the doctoral thesis.

The CAPD may authorise part-time doctoral studies. In this case, they may have a maximum duration of five years until the doctoral thesis submission. *NOT APPLICABLE TO PHD STUDENTS WITH A SCHOLARSHIP.

The application can be made at the time of applying for admission (pre-enrolment) or later, once enrolment has been formalised (through the student’s INTRANET, Virtual Secretary’s Office section, second column, applications, application for part-time enrolment). A reason will be requested (limited observations field), and once the request has been made, submit a supporting document, which will vary depending on the reason for the request.

If the reason is work-related: company certificate (with start and end dates or start and current situation) or employment report. Pay slips or contracts are not accepted, as they contain unnecessary information and exclude needed information.

If the cause is other and there are no documents to justify it, a statement from the applicant detailing the situation that justifies the request may be sufficient in a pdf document.

Once the Academic Committee of the programme has approved the application, the partial dedication will be maintained in future enrolments unless otherwise requested.

 

ACTIVITIES PARALLEL TO THE THESIS PROCESS

The activities to be carried out in this PhD programme are cross-curricular and specific. In the following table, you will find all the necessary information about the duration of the hours and the type of possible activities to be carried out.

THE ACTIVITIES ARE INCORPORATED INTO THE SENIA APPLICATION, WHICH CAN BE ACCESSED FROM THE MANAGEMENT PLATFORM.

Please note:

– Only activities with a MINIMUM number of hours indicated are compulsory.

– In cases where the activity can be allocated a wide range of hours, the committee (CAPD) will determine.

– In each Specific Activity, a number of indicators can be added together.

– Given that the data validated in the Cross-curricular and Specific Activities will appear in the PhD student’s transcript, the CAPD advises including all the activities in SENIA even if they exceed the 600h required.

– The PhD student must upload to the SENIA application all the digital elements for which they want to compute in each type of specific activity or indication.

ANNUAL ASSESSMENT

– Evaluation and data entry solution for each PhD student: during June of EACH YEAR.

– Director’s Evaluation: 1st half of July of EACH YEAR. Deadline for improvements, if necessary: 5 days.

– Assessment by the programme Academic Committee: September.

– In case of negative Evaluation (+ 6 months)

o request for new Evaluation and introduction of data: 2nd fortnight of December.

o Director’s Evaluation: 1st fortnight of January of the FOLLOWING YEAR. Deadline for improvements, if necessary: 5 days.

o Assessment by the programme Academic Committee: February of the year following the submission of the report in the previous December.

SPECIFIC TRAINING

Application for recognition of specific activities: Continued throughout the course BY CAPD.

-THE STUDENT ENTERS THEIR ACTIVITY IN SENIA, THEN VALIDATED BY THE DIRECTOR, AND THEN VALIDATED BY THE CAPD.

APPROVAL OF THE RESEARCH PLAN

1 year from the date of formalisation of enrolment per student.
